Visa Application Declaration

ICCAE wishes to formally clarify that we are not authorized to assist with any visa application processes. This disclaimer applies to the organization as a whole, including all conference secretariats, international liaisons, and any individuals or parties associated with ICCAE.

As clearly stated on our official websites, the only document we provide for visa purposes is the Invitation Letter issued by the Conference Committee Board. No additional supporting documents will be furnished.

We understand that some embassies may require a Letter of Guarantee. However, we would like to emphasize that an Invitation Letter is distinct from a Letter of Guarantee, and ICCAE does not issue the latter.

Letter of Invitation:

An Invitation Letter serves as official confirmation that your paper submission and registration have been accepted by the Conference Committee Board. While this document may support your visa application, please note that:

  • The Invitation Letter is not a visa guarantee.

  • Visa issuance remains solely at the discretion of the embassy or consulate.

  • ICCAE has no influence over visa approval decisions.

Letter of Guarantee:
A Letter of Guarantee is an individual/party agrees to be legally and financially responsible for your staying during your visit in the country you’re going to. ICCAE does not and will not provide such document.

In conclusion, please take note that ICCAE does not issue organization registration letter, guarantee letter, schedule of staying letter, local sponsor letter, governmental format invitation letter, and etc. Any violation of the ICCAE visa application regulations is absolutely not tolerant.

Should your application be denied, ICCAE cannot change the decision of the Ministry of Foreign Affairs, nor will we engage in discussion or correspondence with the MOFA or the Embassy on behalf of the applicant. The registration fee cannot be refunded when the VISA application of individual being denied.
